Introduction
Clarence Runners is committed to protecting your privacy and handling personal information fairly, lawfully and transparently. This policy explains how we use personal information collected through this website and in connection with club activities.
Who is responsible for your information?
Clarence Runners is the controller of the personal information described in this policy. Our correspondence address is c/o 175 Market Street, Tottington, Bury BL8 3LT. For privacy questions or requests, contact admin@clarencerunners.com.
Information we collect
We may collect information that you give us directly, including your name, email address and the content of a general or support enquiry. We may also collect limited technical information needed to operate and secure the site, such as IP address, browser type and request logs.
If you choose to take part in club activities or use future member services, we may need further information that is relevant to the service, such as contact details, emergency-contact details, attendance or membership information. We will provide a suitable notice at the point of collection before introducing any new category of personal information.
How we use your information
We use personal information to respond to enquiries, administer club activities and member services, keep people safe, maintain website security, improve the website, and meet legal or regulatory obligations.
We rely on one or more of the following lawful bases: your consent; performance of a contract or steps taken at your request before entering into one; our legitimate interests in running a safe and effective club and website; and compliance with a legal obligation. Where we rely on consent, you can withdraw it at any time, although this will not affect processing that has already taken place.
Analytics and cookies
If optional analytics is enabled, we use it only after you choose to accept analytics in the cookie notice. Analytics helps us understand aggregate use of the site. More information is available in our Cookie Policy.
Facebook content
We display selected public posts and Page-uploaded photos from the Clarence Runners Facebook Page. Our server retrieves this content from Meta and caches it for up to 15 minutes to operate the feed and gallery. Viewing this content on our website does not load Meta tracking tools in your browser or set Meta cookies.
If you select a link to view content on Facebook, you will leave our website and Facebook will handle information about your visit in line with its own privacy policies and practices.
Who we share information with
We do not sell personal information. We may share it only with people or service providers who need it to support the club or website, such as website hosting, email and analytics providers; where you ask us to; where it is necessary to protect people or systems; or where we are required to do so by law.
We require service providers to handle personal information securely and only for the purposes for which it was shared.
International transfers
Some service providers may process information outside the UK. Where this happens, we will use appropriate safeguards required by UK data-protection law, such as an adequacy regulation or approved contractual safeguards.
How long we keep information
We keep personal information only for as long as necessary for the purpose for which it was collected, to meet legal obligations, or to resolve disputes. We normally retain website enquiries for up to 12 months. Where membership or financial records are introduced, the relevant retention periods will be confirmed in the member-service notice before that service goes live.
Security
We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse or alteration. No method of electronic transmission or storage is completely secure, but we work to protect the information we hold.
Your rights
Subject to applicable law, you may have the right to ask us for access to your personal information; to correct inaccurate or incomplete information; to erase it; to restrict or object to processing; and to receive a portable copy in certain circumstances. You also have the right to withdraw consent where processing relies on consent.
To exercise your rights, email admin@clarencerunners.com. You also have the right to complain to the Information Commissioner’s Office.
Automated decisions
We do not currently make decisions about you solely by automated means, including profiling, that have legal or similarly significant effects.
Third-party websites
This policy applies only to content served from the Clarence Runners website. Links to third-party websites are subject to those websites’ own privacy policies and practices.
Changes to this policy
We may update this policy from time to time. We will publish the revised version on this page and update the “last updated” date.
